What Is Venue Management?

The venue management feature is designed for caterers who own or manage event spaces. It allows you to include venue hire costs directly in your quotes, manage reservations through a calendar, and keep venue-specific items and pricing organised alongside your catering offerings.

Enabling the Feature

Go to Settings and enable the Venue Management feature. Once enabled, a Venues section appears in the main menu where you can set up your venues.

Setting Up Venues

Go to Venues and click Add New Venue. For each venue you can configure:

• Venue details — Name, address, and capacity
• Reservation types — Define the types of bookings available (e.g. full day, half day, hourly) with pricing for each
• Venue-specific items — Items and equipment that are specific to the venue, with their own pricing

Including Venue Hire in Quotes

When creating a quote, select an order type that includes venue hire (e.g. Venue hire only or a staffed event at your venue). Choose the venue and the reservation type. The venue hire cost is automatically included in the quote total, and the venue section appears at the top of the customer's quote.

You can also add venue-specific items to the quote from the Venue tab on the items page, alongside your regular menu, beverage, and equipment items.

Venue Calendar

The venue calendar gives you a visual overview of all reservations across your venues. Use it to:

• Check venue availability before creating quotes
• See all upcoming bookings at a glance
• Avoid double-bookings
• Plan setup and teardown around events

Additional Features

• Address override — When a venue is selected on a quote, the venue address can be used instead of the customer's address
• Commentary templates — Add venue-specific commentary that is automatically included in quotes for that venue
• Floor plans and photos — Attach venue documentation that can be shared with customers or included in event briefs
